Microsoft Copilot Topics: Understanding “Topics” in Microsoft Copilot Studio
At its core, a “Topic” in Microsoft Copilot Studio represents a central theme or subject around which content is organized and generated. The AI-driven platform uses these topics to understand the context of the content, provide relevant suggestions, and streamline the creation process. Topics can be thought of as the pillars that support the structure of your documents, presentations, or any other form of content you are working on.
How “Topics” Work in Copilot Studio
Microsoft Copilot Studio utilizes advanced natural language processing (NLP) and machine learning (ML) algorithms to analyze the content and identify key topics. Here’s a step-by-step breakdown of how this process works:
Content Analysis
- When you input text or data into Copilot Studio, the AI begins by analyzing the content to understand its context. This involves parsing the text to identify keywords, phrases, and sentences that convey the main ideas.
Topic Identification
- Based on the analysis, the AI identifies potential topics. For instance, if you are drafting a report on climate change, the topics might include “global warming,” “carbon emissions,” “renewable energy,” and “climate policy.”
Contextual Understanding
- The AI uses these topics to understand the broader context of your content. This understanding is crucial for providing relevant suggestions, generating new content, and ensuring coherence throughout the document.
Content Generation and Enhancement
- With the topics identified and understood, Copilot Studio can assist in various ways. It can generate additional content related to the topics, suggest relevant data or sources, and even help in organizing the document by creating headings and subheadings based on the topics.
Continuous Learning
- As you interact with the platform and refine your content, Copilot Studio learns from your inputs and adjustments. This continuous learning process helps the AI improve its topic identification and content generation capabilities over time.

Challenges and Considerations
While the “Topics” feature in Copilot Studio offers numerous benefits, there are also challenges and considerations to keep in mind:
Accuracy of Topic Identification
- The accuracy of topic identification depends on the quality and clarity of the input data. Ambiguous or poorly structured content may lead to incorrect topic identification, affecting the relevance of AI-generated suggestions.
Dependence on AI
Over-reliance on AI for content creation can potentially reduce critical thinking and creativity. It’s important to use Copilot Studio as a tool to enhance your work, rather than a substitute for human input and expertise.
Data Privacy and Security
- Given that Copilot Studio analyzes and processes potentially sensitive information, ensuring data privacy and security is paramount. Users need to be aware of how their data is handled and stored.
Bias and Fairness
- AI models can sometimes exhibit biases based on the data they are trained on. Ensuring that the AI provides fair and unbiased suggestions is crucial, particularly in sensitive or high-stakes content.
Future Developments and Enhancements

Microsoft Copilot Topics: Demo
As of now, we have learned about topics in Copilot Studio theoretically. Now let’s understand how the topic works practically in Copilot Studio. Let us understand this in simple or natural English: when we type something in the Chatbot window, let’s say we type “Hi,” then we get a response from the chatbot in reply to the user question. So, for each type of phrase or text user type, there is already defined a trigger in the Copilot Studio mechanism; based on the user text or phrase, the respective topic will be triggered, and the Copilot mechanism will execute the topic and answer the user query.
So, the answer or reply that we get from the Copilot chatbot comes from the topic. Now, our basic understanding of the topic is clear. Isn’t it?
Let’s test this practically.
This is the sample copilot I have created for this demo. If you don’t know how to create a new Copilot, refer to my previous article: Microsoft Copilot Studio: How to Get Started Step by Step

Note:
- As Microsoft is investing a lot in the Copilot Studio AI tool, the Copilot UI is changing frequently, and they are adding new features day by day. So, if you compare today’s Copilot UI with two months before Copilot UI, there are drastic changes. We can see new features like knowledge, topics, actions, and many more on the home page of Copilot. I will write a separate article on this in the upcoming days. Let’s get back to the agenda of this article.
I have typed “Hi” in my Copilot test panel, and I got the reply, “Hello, how can I help you today?” And this reply came from a respect-trigger topic.

Now, let’s see, when we create a new Copilot with a blank or empty template, what topics get created automatically.
Click on the “Topics” menu from the top, then we can see all available topics were created automatically along with Copilot creation.

In the topics, there are two parts: 1) Custom, which we can delete, and 2) System, which we cannot delete. On the above screen, the “custom” topics are shown, and below are the system topics.

Note:
- The number of topics we can see above is not fixed; it is dynamic. The more features we add or enable, based on the various types of template selection, the number of topics will increase or change.
Now, the question is: when we type something on the Copilot test screen panel, how do we know which topics are being triggered?
The answer is: double-click on the answer, and you will see which topic is being executed on the left side.
Trigger Topic in Copilot StudioNote:
- If we notice, as a user, I have typed the text “Hi” and there is a defined phrase in this trigger topic. That is the reason this topic got triggered, and we got the message as a reply, “Hello, how can I help you today?”
How to Disable Topic in Copilot Studio?
By default, all topics are in enabled mode, whether they are custom or system; however, if you wish to disable certain topics for your needs, you can do so. Below are the steps to take:
Select the topic you want to disable.
Click on the three dots next to your topic name.
Look for the status property and turn the toggle off.
We can also make a copy of the topic and delete it as well.

Note:
- In System Topics, you cannot see the delete and make a copy option, as the deletion and make a copy are forbidden. See below:

What happens when the text or phrase doesn’t match any of the topics?
When the user’s question, text, or phrase doesn’t match with any of the custom topics, then the system topic called “On Unknown Intent” will be triggered. This system topic will be triggered when none of the custom topics match the user question. This trigger topic uses the AI knowledge as data source inside the “Create Generative Answers” node to answer the user’s questions. Below is an example of it.
In this example, I have asked the copilot, “What are the topics in Copilot?” Since there are no matching custom topics available with this question or text, the copilot used the “On Unknown Intent” trigger and called the “Create Generative Answers” AI action to answer the user question.
